This notice explains what personal information Dinas Integration Services CIC collects through this website, why we collect it and what we do with it. Our Data Protection and GDPR policy explains how we look after information across all of our work.

Who we are

Dinas Integration Services CIC is the organisation responsible for the information you give us on this website (the “data controller”).

What we collect and why

We only collect information that you choose to give us. You can browse the website without telling us who you are.

Contact form

Your name, email address, phone number (if you give it), the subject you choose and your message. We use these to reply to you.

Volunteer form

Your name, email address, phone number, where you are based, how you would like to help and anything you tell us about yourself. We use these to contact you about volunteering.

Refer someone form

Your name, organisation and email address, and the name, contact details and support needs of the person you are referring. We use these to contact that person and offer support. Please only refer someone who has agreed to be referred, and only tell us what we need to know to get in touch.

Email updates

Your email address, if you subscribe in the footer of the website. We use it to send you news about our events and projects. You can ask us to stop at any time.

Members resource hub

When you sign up we collect your name, your email address, the project or service you are part of, and the date you agreed to this notice. You choose a password, which is stored in a scrambled form that we cannot read.

When you use the hub we record when you sign in and which resources you open, preview or download. We use this to see which resources are useful and to report to our funders how each project’s resources are used. These reports show totals and do not name you. PDF files you preview or download are marked with your name and the date, because they are for members only.

Booking and messages on WhatsApp

If you book an activity or message us on WhatsApp, we see your phone number, your WhatsApp name and your message. WhatsApp is run by Meta, which handles your messages under its own privacy policy.

Our legal reasons for using your information

  • Your consent: when you tick a box to agree, for example when you sign up for the members hub or subscribe to email updates. You can withdraw your consent at any time.
  • Our legitimate interests: replying to your questions, arranging volunteering, following up referrals, understanding how the resource hub is used and keeping the website secure.
  • Legal duties: for example, where we must act to keep someone safe.

Some of what you tell us may be sensitive, such as information about health or immigration status. We only use it to provide the support you have asked for.

Cookies and visitor statistics

  • Signing in: if you sign in to the members hub, the website places cookies on your device so that it knows you are signed in. They are needed for the hub to work and are removed when you sign out or they expire.
  • Language: if you choose another language, a cookie remembers your choice. The translation is done by Google Translate, so from then on your browser contacts Google and the text of each page is sent to Google to be translated. If you stay in English, nothing is sent to Google.
  • Visitor statistics: we count how many times each page is visited. This does not use cookies and does not identify you.

We do not use advertising or tracking cookies.

Who we share your information with

We do not sell your information. We share it only when it is needed to provide support you have asked for, when you have agreed, or when the law requires it.

We use trusted companies to run the website and our email. They store information for us and may only use it on our instructions:

  • Namecheap, which hosts the website and our email
  • Google, for translation when you choose another language, and for secure backups of the website

Some of these companies may store information outside the UK. Where that happens, we rely on the safeguards they provide under UK data protection law.

The website also links to other services, such as WhatsApp, Facebook, Instagram, Eventbrite, Microsoft Teams and Localgiving. They have their own privacy policies, and we are not responsible for how they use your information.

How long we keep your information

We keep your information only for as long as we need it for the reason you gave it to us, and then we delete it.

  • Messages sent through the forms are emailed to our inbox. They are not stored on the website.
  • Your members hub account stays until you ask us to close it, or until you are no longer taking part in our projects.
  • To protect accounts, the website records the internet (IP) address of failed sign-in attempts for a short time.
  • To stop spam, the website counts how many messages are sent from the same connection over ten minutes. It does not keep the address itself.

How we keep it safe

The website uses a secure (https) connection, so information you send us is encrypted on its way. Only members of the Dinas team who need your information can see it. Resources in the members hub can only be opened by members who have been approved by our team.

Your rights

Under UK data protection law you can ask us to:

  • tell you what information we hold about you and give you a copy
  • correct information that is wrong
  • delete your information, or stop using it
  • close your members hub account
  • stop sending you email updates

If you are unhappy

Please tell us first, so that we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.

Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last changed.
